So You’re Thinking of Outsourcing Your Payroll Services?

So you are thinking of outsourcing your payroll services. One of the reasons is the accuracy needed to do payroll and the timeliness for reporting. Then there is maintaining all the payroll records from wages and salaries, and payroll tax information.  Let’s not forget computing salaries and wages, withholding payroll taxes, and filing of taxes.

How do you go about choosing the right payroll service provider? The best way is to ask the right questions.

Below are several questions which I would suggest asking a payroll service provider when considering outsourcing. What I’ve done is to share my thoughts of how we provide payroll service at A Mazzo Accounting.

1. What services are included on payroll at A Mazzo Accounting, and what are not?
Let me share what we don’t offer, employee benefits. That’s a whole other world of services which are not the focus of my business. What I do offer in services is any frequency of payroll be it weekly, bi-weekly, or monthly and write the pay checks. I do all the calculations for the monthly taxes. Complete the quarterly payroll reports, Prepare the year-end tax paperwork to include: W2, 1009s and all tax reports. I’m even there beside you when you receive any kind of nasty notices from government.

2. Can I see a sample check stub for payroll?
Of course, I can show you a sample of what your payroll checks would look like. We do encourage direct deposit as an option as well.

3. Are payroll reports available, and what can be included in them?
I provide any type of reports the employer needs. Most reports are standard and are part of my monthly fees. Some require additional work, like certified payroll reports for the government. For those there is an additional fee.

4. Can you process different types of payroll taxes?
Yes. I can process any type of payroll tax required by the employer.

5. What options do I have for reporting payroll data, and is my information confidential?
We have the ability to set up a portal for you if you would like to upload your payroll data. We also have other clients who send their information by email. Others still like that personal touch and call us with their hours. It’s whatever the clients like to do that works for me.

All your information is backed up offsite and is safely encrypted to ensure your company information is protected.

6. Can changes be made after payroll is reported? What is the time frame for changes?
Yes. There is a lot of flexibility when it comes to payroll reporting. Say you accidentally reported 47 hours straight time for your employee and it should have been 40 hours normal wages and 7 hours overtime. This change can be made easily with a subsequent check to show the adjustments. Now, if this happens to be discovered after quarterly reports have been sent, we would create an adjustment and correct the reports. This would be called an amended return and, because of the additional work, there would be additional charges.

7. Who can I contact in case of questions or concerns?
The beauty of working with A Mazzo Accounting IS you work with one person who is available to you 24 hours a day, 7 days a week. Of course, when I’m with another client, sleeping, and, well, you know, just leave a message and I’ll return your call as soon as I can.

8. What are your fees?
My monthly standard fee is $120 a month up to five employees with an initial set up charge. I know, I am higher than ADP and Paychecks. The difference is my focus is ONLY on your payroll and not on other employee benefits products. I am your PAYROLL GUY!
